Job Title: Assignment Clerk

Department: Assignment Commission

Common Pleas Court

Hours: 35 hours per week

Pay: Based on experience

POSITION PURPOSE: The primary purpose of this job is to accurately assign hearing/trial dates to Judges' dockets, issue notices to the applicable parties of cases and update computer accordingly on an ongoing basis.

ESSENTIAL FUNCTIONS: The duties listed below are in no way a limitation to the possible job duties the Assignment Clerk will be required to perform. The Judges of the Common Pleas Court and/or the Court Administrator may assign tasks which are not listed in the job duties section to employees under their direct or indirect supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Maintain Judges' dockets/calendars through consultation with Judges' staff on an ongoing basis

2. Assign hearing/trial dates

3. Issue notices of hearings/trials to appropriate attorneys and parties

4. Provide Judges, staff, parties and attorneys with full and accurate scheduling information

5. Manage the Court's docket through the case management computer program

6. Update staff as to changes in schedules/dockets/calendars

7. Maintain confidentiality of Judges' personal schedules

8. Perform Bailiff duties for the Magistrate's courtroom 2 days a week

9. Perform Bailiff duties as a backup for Judges' courtroom when needed

10. Cross-train and provide backup assistance to the Jury Commissioner and Magistrate's Office

11. Schedule Judgment Debtor exams from the Magistrate's Calendar

12. Schedule Replevin Hearings, Civil Stalking Protection Orders on Magistrate's Docket

13. Schedule Civil and Foreclosure Mediations with Attorneys from the Mediation calendar

14. Review and verify applications for appointed counsel fees for approval of payment

15. Communicate with Probation Department regarding community control violation hearings

16. Schedule bond hearings on a daily basis through communication with Jail personnel and Judges' staff

17. Assist public and attorneys at counter daily as needed

18. Generate and distribute monthly calendar as to the schedule for Arraignments, Grand Jury, and Criminal Pre-trials

19. Research returned mail addresses; investigate accurate new addresses

NON ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Other duties as assigned

2. Answer telephones and prioritize phone calls

3. Maintain professional, courteous and effective communication

4. Daily mailings and filing with the Clerk's Office

EDUCATION/EXPERIENCE MINIMUM REQUIREMENTS:

1. Must have a minimum of a high school diploma or equivalent

SPECIFIC REQUIREMENTS (Knowledge, Ability and Skill):

Knowledge: Must have an understanding of Microsoft word and excel.

Ability: Must be able to read, write, speak and understand the English language; must have superior communication skills.

Skill:

1. Must be able to operate office equipment, such as a computer, telephone, copier and fax machine.

2. Must have ability to communicate with people with variety of backgrounds, ages, circumstances, etc - in person and in groups

3. Must have strong customer service skills, multi-tasking, and be able to work well in a team environment

4. Must be able to work independently and with little direction or instruction.

PHYSICAL AND SENSORY REQUIREMENTS:

1. Must be able to move intermittently throughout the day.

2. Must be able to cope with the mental and emotional challenges of the position.
